Summary of Position
Senior Program Support Assistant will have joint responsibilities in the Center for Ocean Engineering (COE) and the School of Marine Sciences and Ocean Engineering (SMSOE).

The Senior Program Support Assistant reports to the COE Director and the SMSOE Administrative Systems Specialist and on academic matters works in close collaboration with the BSOE Undergraduate Coordinator, the OE Graduate Coordinator. The job involves a variety of tasks with distinct "seasons" and recurring tasks, for example, there will be more emphasis on academic program support at the beginning and the end of the fall and spring semesters, while at other times it will be on operations and general administrative support. The job location is in Chase Ocean Engineering Laboratory on the UNH Durham Campus.

Other minimum qualifications
  • High School graduation and four years of related experience involving duties of increasing responsibility requiring discretion and independent judgement, or Associate's Degree and two years of related experience, or a combination of higher education and related experience equal to four years.
  • Computer skills including working knowledge of Office 365 products, word processing, email, spreadsheets, database management, use of search engines, keyboarding skills, and other software applications as required.
  • Effective written and oral communication skills.
  • Organizational skills
  • Ability to establish and maintain effective working relationships with faculty, staff, students and the general public.
Additional Preferred Qualifications
  • Bachelor's degree
  • Other credentials related to core responsibilities.
  • Experience in a college/university work environment especially requiring coordination across academic and non-academic units.
  • Experience with the following programs: Banner, Webi, , Canvas, Extender, Drupal. Experience with social media to include Facebook, Instagram, Twitter and LinkedIn.

Job Duties

Duty/Responsibility
Academic Responsibilities:
  • Support of students and faculty in the OE undergraduate (B.S.), OE graduate (M.Eng., M.S., Ph.D.) and SMSOE courses and programs in all administrative matters, including: time and room scheduling, maintaining student records and other records (with adherence to HIPAA/FERPA), databases and materials and relevant to the programs, liaison to the College of Engineering and Physical Sciences (CEPS), SMSOE, Registrar's office and the Graduate School, and using UNH provided enterprise software.
Duty/Responsibility
Support of Operations for Chase Ocean Engineering Lab (COEL), COE and SMSOE
  • Provide operations support: scheduling of COEL controlled rooms and managing building and lab access using UNH provided programs.
  • Support center/office business functions such as making purchases, operating office equipment, ordering and maintaining office inventory and supplies.
  • Manage scheduling (via calendars) and billing (monthly) for COEL tanks, SMSOE vessels and vehicles, and track usage.
  • Process monthly utility invoices.
  • Manage COEL classroom signage including digital signage.
Duty/Responsibility
General Administrative Support in COE and SMSOE
  • Point of contact for Chase Ocean Engineering Lab. Act as COE receptionist answering inquiries, routing calls and electronic mail as appropriate.
  • Coordination of incoming and outgoing mail and packages.
  • Prepare and update documents and electronic files as necessary. Assist with communication within the Center (COE), liaison to SMSOE. Work with COE director to review COE operational finances and assist with reconciliation if necessary.
  • Assist with COE or SMSOE events and tours, e.g., Open House or facility tours, Ocean Discovery Day, Graduate Research Symposium. Maintain COE/SMSOE distribution lists.
  • Perform website updates.
  • Perform administrative tasks as assigned.
