Description

Provides project coordination and support for the Quality Department exercising independency, judgment, and experience to ensure the timely communication of information to and from the individuals and/or department.

Duties and Responsibilities:

  • * Supports site specific functions related to quality, safety, risk, PFR and clinical compliance as directed by site OCMO leadership.
  • * Assists with just in time coordination for unannounced regulatory surveys such as DPH, CMS and TJC, including conference room clearing/scheduling/food/general admin assistance for requests like printing, running for items across the organization, etc.
  • * Executes local team meeting scheduling and adjustments including but not limited to daily huddles for event reviews, weekly huddle's w/Reliability Management Teams, etc.
  • * Responsible for executing Department of Public Health (DPH) and other required letter mailings.
  • * Schedules Collaborative Case Reviews
  • * Coordination and scheduling of family meetings and pre-family meetings
  • * Coordination and scheduling of multidepartment/stakeholder meetings under direction of Sr. Manager/Director
  • * Coordination of third-party payor grievances
  • * Organization and clerical support for legal proceedings such as notices of potential claims (NOPCs) 60Ls (pre-ligation notice of intent to file suit), etc.
  • * Tracking and management of BORIM safety and quality reports and responses from BORIM
  • * Meeting prep and minutes for Joint Commission readiness efforts
  • * Coordinating and scheduling process improvement meetings with multiple local leaders/stakeholders
  • * Taking meeting minutes
  • Ensure meeting participants have accurate meeting logistics (location, directions, etc.)
  • Other ad hoc administrative duties and projects as assigned.
Qualifications

* Bachelor's Degree preferred.

* Minimum of 3 years of relevant healthcare or administrative support experience (combinations of relevant experience/training will be considered)

Skills/Abilities/Competencies:

* Possess strong interpersonal skills to effectively communicate with cross functional teams including staff at all levels of the organization.

* Experienced in planning, organizing, prioritizing, managing multistage projects to deadline.

* Proficient in exercising initiative, judgement, problem solving and decision making.

* Possess strong interpersonal skills to effectively communicate with cross functional teams including staff at all levels of the organization.

* Strong communication skills, including strong verbal, written and interpersonal skills and meeting facilitation of formal and informal gatherings of various sizes.

* Ability to build and manage relationships, partner across multi-stakeholder groups of professionals with different skill sets and backgrounds, guide teams in a highly complex and changing environment.

* Requires minimal direction from leadership and possesses the ability to learn quickly.
