Job Summary:

The Administrative Assistant operates the front desk of the Urgent Care Center (UCC), and is responsible for organizing, coordinating, and monitoring all non-clinical operations of the program under the direction of the AMCI Director and other managers providing administrative assistance including triaging calls, assisting Persons, their families and collateral service providers to get answers to questions; and providing direct support to team staff, including monitoring & coordinating daily team schedules and supporting staff both in the office and in the field. The Administrative Assistant will often be the first responder to Persons, families, funders and outside providers and is therefore essential in delivering accurate and timely information to all interested parties in a way that supports Bay Cove's mission.

Essential Functions of the Position:

  • Manage the front door by greeting people at UCC and answering telephone calls.
  • Triage and coordinate communication between the UCC Call Center and the program.
  • Ensure answers to questions for Persons, families, community sources, and agencies are delivered in an accurate and timely manner.
  • Provide a range of administrative support to the program including setting up files, ordering supplies, equipment, securing taxi vouchers, maintaining petty cash, etc.
  • Utilize recovery-oriented language and principles in all communication and interactions with Persons, colleagues, and collaterals.
  • Maintains effective working relationships with insurers, on site campus police, DMH, BMC, BEST, local community resources, and treatment/rehabilitation programs throughout the Greater Boston community.

Job Requirements:

  • Bachelor's Degree is preferred, preferably in Psychology, Social Work, or a related area.
  • Experience working in programs providing services to individuals who have mental health and/or substance use challenges is strongly preferred.
  • Knowledge of accounting procedures, medical records management, and personnel policies and procedures is preferred.
  • High degree of personal organization, attention to detail, and time management skills.
  • Proficiency in word processing and other computer functions using Windows, Word, and Google Email and Apps.
  • Ability to climb stairs and carry up to 40 pounds, as well as the physical capacity to assist people with mobility impairments as needed.
