Facilities Management Specialist - Lowell

What You'll Do:

The Facilities Management Specialist is instrumental in the oversight and operation of Bank real estate properties in alignment with the Bank's brand image and strategy. Working closely with the Facilities Manager, this individual manages the maintenance requirements for all bank properties including external/internal fixtures, equipment, furnishings and landscaping, mechanical and maintenance services. A major component of the position is to execute improvements and efficiencies to the existing facilities vendor management program at headquarters and branch locations.

Property Management:

  • Works with the Facilities Manager to ensure the Bank's properties are properly maintained in accordance with design specifications, the Bank's brand image, and Customer Experience standards.
  • Manages subcontractor/vendor relationships, and provides logistics support (site access, parking, equipment access) and evaluation of general maintenance, landscaping, plowing, recycling, waste management, and/or janitorial services.
  • Interacts with team members, customers, vendors, and tenants to diagnose and resolve issues and ensure customer satisfaction. Manages and documents issues and provides reporting on contracts and/or insurance claims to mitigate risks related to property management.
  • Works with Facilities Manager to develop and execute Bank's energy management strategy, including the procurement of commodities (electricity, gas), development of energy reducing programs, and the oversight of target sustainable project.
  • Oversees the inventory of Bank-owned furniture, fixtures, and equipment. Maintains accurate manifest of both on-site and off-site inventory. Coordinates storage agreements.
  • Acts as primary contact for Bank tenants for maintenance tenant improvements. Coordinates tenant construction projects within Bank owned property.
  • Works with Marketing, Branch Administration, and third-party services to design, install, and maintain Branch location signage and lighting.
  • Coordinates with Risk Management Department with respect to security, camera, or card-access type programs. Works with the Risk Management Department on the integration of Facilities vendors with the Bank's Vendor Management program.

Budget

  • Assists the Facilities Director to prepare annual facilities and capital improvement budgets and cost estimates; manages actual to budget on an ongoing basis, ensuring that funds are managed prudently.

Other

  • Evaluates achievement of performance measures in the above functions to identify new initiatives and/or to improve the overall delivery of facility management services in the most cost-effective manner that achieves desired business results.
  • Develops or provides input in preparing facilities-related departmental policies and procedures.
  • Maintains safety standards in conformance with federal, state, and insurance regulations.
  • Serves on the NH Safety Committee.
  • Responds to after-hour emergencies, as needed.
  • Supports Risk Management in business continuity planning process.
  • Performs duties consistent with all State and Federal regulations as well as Bank policies.
  • Exceeds customer expectations by following the guidelines outlined in the Customer Experience Program.
  • Performs other related duties as assigned.

This position is Onsite. Candidates from MA, NH, and ME only.

Requirements:

  • Associates degree desirable; and
  • Four to six years commercial property management experience or within related field (construction, design, or engineering); or
  • Equivalent combination of education and experience.
  • Must have a valid driver's license.
